Job Overview: A private household is seeking a highly experienced Executive Personal Assistant (EPA) to provide seamless support across the Principal's personal and professional life. This role works in close partnership with the Principal while also collaborating with the Executive Domestic Facilities Manager (EDFM) and a fully staffed household team. This position is best suited for someone who thrives in a fast-moving environment and takes pride in anticipating needs before they arise. The ideal candidate is polished, resourceful, discreet, and deeply committed to delivering exceptional service at all times.
Most mornings will begin at the family's dedicated office in downtown Honolulu, where you will align on priorities, manage communications, and prepare for the day ahead. From there, you will transition into supporting the Principal throughout the island, handling appointments, errands, and real-time needs. This role requires someone who is comfortable staying productive on the go and can easily shift between administrative responsibilities and hands-on support.
Key Responsibilities:
- Oversee and manage complex personal and professional calendars, including scheduling, logistics, and detailed travel planning
- Serve as a gatekeeper for communications, filtering emails and calls while ensuring priorities are handled efficiently
- Provide thoughtful, proactive support to enhance the Principal's day-to-day experience, always prioritizing comfort, safety, and discretion
- Travel ahead of the Principal when needed to prepare accommodations and ensure all preferences are executed to the highest standard
- Coordinate with household staff, vendors, and service providers to maintain smooth daily operations
- Run errands, manage purchases and returns, source gifts, and assist with event planning and special requests
- Provide professional transportation to appointments, events, and travel needs
- Maintain organized digital and physical systems, including files and inventory, in collaboration with the EDFM
- Remain adaptable and responsive throughout the day, including working remotely from a laptop or phone when needed
- Consistently represent the household with professionalism, polish, and confidentiality
Requirements:
- Minimum of 5 years of experience in a similar role within a private household or high-profile environment
- Kamaʻāina required
- Bachelor's degree or equivalent experience; additional certifications are a plus
- Highly proficient with technology, including Microsoft Office, Apple products, QuickBooks, and secure communication platforms (Signal, ProtonMail)
- Strong understanding of etiquette and private service standards, with the ability to anticipate needs intuitively
- Valid driver's license with a clean driving record
- Ability to lift up to 40 pounds and assist with travel logistics as needed
- Must be able to work from the Honolulu office and travel interisland and occasionally to the mainland
- Non-smoker and fragrance-free due to medical sensitivities
- Calm, organized, solutions-oriented, and genuinely enjoys supporting others
- Typing speed of at least 80 WPM
- Ability to successfully complete a cognitive assessment as part of the hiring process

Compensation: $90,000–$120,000/year DOE
(Equivalent up to $57.70/hour)
